Seves Compliance – Speak up!

Seves wants to further promote its reputation as an integer business partner offering not only high performance and quality of its products and services but also conducting its business always in full compliance with all relevant laws and regulations and pursuing highest ethical business standards. Integrity and compliance with all relevant laws and regulations are therefore of the highest priority at Seves.

In order to maintain the integrity of Seves and avert possible damaging situations, Seves is interested in identifying compliance violations. Since Seves values an open company culture, every employee and outside party who is aware of a compliance risk is encouraged to confide the situation to an appropriate contact within Seves, such as a supervisor, the human resources department, the Chief Compliance Officer or any of the local Compliance Representatives.

In addition, Seves offers its employees as well as its customers, suppliers and other business partners a secure reporting portal (“Integrity Line”) for providing information on possible severe compliance violations. The Integrity Line allows to share such information at any time and from anywhere in the world in a safe and confidential way. Reports submitted via the Integrity Line will be received by an external law-firm, which will try to clarify the relevant issue to the extent possible and then forward the information to the Chief Compliance Officer of Seves, who is responsible for further procedure (including initiating a possible formal investigation).

As we value open communication with our employees and business partners, we would like to encourage you to submit your report under your name. Regardless of this, even if you decide to submit your report anonymously, we would like to ask you to set up a secured postbox in the system. This will allow communication between the law-firm and yourself to clarify questions. Your information will always be handled with strict confidentiality.

The Integrity Line serves for the identification and avoidance of major risks for Seves. For this reason, only reports referring to severe compliance violations are accepted and processed here, particularly those involving corruptive practices, antitrust violations, fraud and other criminal issues.

Making accusations against a person can result in serious consequences for that person. Therefore, the Integrity Line should be used only in a responsible manner, and only such information should be shared which the reporting person to the best of his knowledge is convinced to be accurate.

In the interests of improved readability, the text of the Integrity Line uses only masculine pronouns, where applicable. Please understand that no discrimination is intended by this in any way.

  • Why should I submit a report?

    A positive and open corporate culture requires that legal, societal and corporate standards are upheld.

    Perhaps you are aware of harmful acts or risks that are endangering the company. Your report can help expose damage to the finances and image of the company at an early stage. Doing so helps ensure the sustainable success of the company and the continued existence of the jobs it creates.

  • What types of reports help your organisation?

    All reports regarding breaches of statutory and internal organizational rules will be gathered and processed.

    More detailed information regarding possible key factors of the report will be provided to you during the reporting process.

  • How will my report be processed? What is a postbox and how do I open one?

    To submit an anonymous or personalized report start by clicking the “Submit Report“ button located on the top left side of our information page.

    The reporting process consists of four steps:

    1. First, read the informational section about protecting your identity. This section also includes a security questionnaire.
    2. Second, you will be asked to describe the key facts of your report on the following page.
    3. On the Report Page you will be asked to use your own words to describe the incident you are reporting – using no more than 4,096 letters, or a fully completed DIN A4 sheet of paper – and to answer specific questions. You may also submit smaller files of up to 2 MB to support your report. Please remember that documents can contain information about their author. After you have submitted your report you will be given a reference number as proof that you submitted this specific report.
    4. Finally, you will be asked to set up your own secured postbox. Setting up a postbox is voluntary, so you may decide not to do so, but a postbox will be used to communicate with you, answer your questions and keep you posted on the status of your report.

    Once you have established secured postbox you will be able to access it via the Login button. Prior to opening your postbox you will have to complete a security procedure to ensure that only the authorized person – you – has access.

    The electronic BKMS® Whistleblower System’s technology will maintain your anonymity as long as you do not submit any information that contains your personal identity.

    We can assure you that we are only interested in the incidents you have reported. The objective is to detect deficiencies early on and to prevent financial damages.

  • How can I receive a reply, yet at the same time remain anonymous?

    The utmost principle of the BKMS® System is to protect the whistleblower's identity. The system's anonymity protection is certified.

    You select your own personal pseudonym/user name and password that you use to set up your postbox. Encryption and other special security methods ensure that your report remains anonymous at all times. At no time during the reporting process will you be asked for personal information. Do not submit any information that can be traced back to your personal identity. Please do not submit your report on a PC provided by your employer.

    The person in charge of your report will contact you via your secured postbox to provide information about the status of your report or to ask further questions if certain details need to be clarified. Your anonymity will always be protected during this process. We are interested in these reports in order to prevent damages, not to get information about the person who submitted them.
