Why should I submit a report?

Compliance with statutory, social and company-internal rules is a vital part of being a responsible company.

Perhaps you are aware of damaging behaviour or risks that endanger the company. Your report will help to expose financial losses and image damage in a timely manner, and you will ensure the company’s long-term success and prevent it having to make job cuts!

How is my anonymity ensured?

The overriding principle of the BKMS^® procedure used here is the protection of the whistleblower. The EQS Group AG security concept provides what is currently the highest possible standard when it comes to data transmission and data access thanks to its encryption technology. The BKMS^® System application is operated on external servers in a high-security data processing centre which meets the requirements of the highest security class and is certified for the storage of critical data. Data transmission from the whistleblower to the server and from the examiner to the server is carried out via an encrypted connection.

What cases can be reported?

The whistleblowing system enables reports about violations of statutory and company-internal rules to be received and forwarded, in particular concerning the topics of corruption, fraud, embezzlement, theft, competition offences and sabotage or destruction, as well as concerning other violations of legal provisions.

Furthermore, the whistleblowing system enables internal and external persons to make the company aware of human rights or environmental risks or violations in HOCHBAHN’s field of business, including its subsidiaries and direct and indirect suppliers.

What is the process for submitting a report? How do I set up a postbox?

To submit a report, start by clicking the "Submit report" button located at the top of our introduction page. You decide whether to submit your report by name or anonymously.

The reporting process consists of four steps:

1. First, you will be asked to read some information on the protection of your anonymity and answer a security query.
2. On the following page, you will be asked about the category of your report.
3. On the report page, you can elaborate on your report in your own words and answer questions about the case by simply selecting responses. In the free text field, you can write 5000 characters, which corresponds to a full DIN A4 page. You may also attach a file of up to 5 MB to support your report. Please bear in mind that documents can contain information about the author. After submitting your report, you will receive a reference number to confirm that you have sent this report.
4. After this, please set up your own secured postbox. You will receive feedback from us via this postbox, including answers to questions and information about the progress of your report.

If you already have a secured postbox, you can access it directly via the “Login” button. Here, too, you will have to answer a security query first.

As long as you do not enter any data that could reveal your identity, BKMS^® System will protect your anonymity.

Please rest assured that we are only interested in the case you are reporting. Abuses must be uncovered and financial losses prevented.

How do I receive feedback and remain anonymous at the same time?

At the end of the report submission process, you can set up your own secured postbox. When doing this, please select your pseudonym/user name and password yourself. Your report is kept anonymous through encryption and other specialised security measures. You will never be asked for personal information at any time during the reporting process. Do not submit any information that contains any reference to you. Tip: Please do not use a computer provided by your employer to submit your report.

Via the secured postbox, an examiner will give you feedback about the further processing of your information, or ask you questions if some details are still unclear - you remain anonymous throughout the dialogue. We are interested in reports to avoid damage. We are not interested in finding out the identity of the whistleblower.
