Information about Cookies

During the use of BKMS^® System, a text file (called a “session cookie”) is saved on your computer containing only the number of your session. This is necessary for technical reasons in order to establish the connection to a security-certified server. The “session cookie” does no damage to your computer, it does not access your data and has no relation to the contents of your report. If you close all browser windows after submitting your report, the “session cookie” will expire and be automatically deleted.

It is important for the company to be aware of any potential non-compliant behavior that places the company at risk. Through your reporting of suspected wrongful conduct, the company can address it as soon as possible and avoid harm. This contributes to the long-term success of Siemens Gamesa Renewable Energy.

Detailed descriptions of the possible report categories are provided during the reporting process. Please restrict yourself to one of the specified report categories. If the circumstances you are reporting do not fall under one of the specified categories, please contact the appropriate person or department at Siemens Gamesa Renewable Energy such as, for example, the Human Resources Department for all human resource issues. An exception is any human resource matter that involves potential criminal or administrative violations.

What is the process for submitting a report? How do I set up a secured postbox?

To submit a report with your name (preferred) or to submit an anonymous report, click on the "Submit report" button located on the top left of our introductory page.

The reporting process consists of 4 steps:

You will be asked to review information concerning the protection of your anonymity and answer a security question.
On the following page, you will be asked for the category of your report.
On the report page, you can provide detailed information concerning the occurrence(s) and answer questions about them by selecting provided responses. In the free text field, you can write 4,096 characters, which corresponds to one letter page. You may also submit a file of up to 5 MB. Please remember that documents may contain information about their author. After you have submitted your report, you will receive a reference number as proof that you submitted it.
You will be asked to set up your own secured postbox. Through this secured postbox the company can provide feedback, answer any questions you might have and notify you when the matter is finalized.

Once you set up your secured postbox, you can access it directly via the "Login" button. To access your secured postbox, you will be prompted to confirm the security query.

As long as you do not enter any data that could reveal your identity, the BKMS^® System protects your anonymity by means of a certified technical solution.

The BKMS^® System protects the anonymity of reporters of information concerning suspected compliance violations who do not want to reveal their identity. When setting up your secured postbox, you may select a pseudonym/ user name and password. Your report is kept anonymous through encryption and other security solutions.

An examiner will describe the ensuing process and may ask questions or request additional information via your secured postbox. You may remain anonymous during the dialogue.

Siemens Gamesa Renewable Energy encourages you to disclose your identity. Compliance inquiries can be carried out more efficiently and effectively when the name of the reporter is known so the examiner can then contact the reporter directly.

If you do not want your name to be shared with persons outside of the Compliance Department, please indicate that in your report. More information on the handling of the personal data that you share via Integrity Hotline can be found here in the information about data protection.

After your report is received, the Compliance Department evaluates whether an investigation is required. An investigation may be carried out by internal or external investigators. If a department outside the Compliance Department is responsible for handling the issues reported by you, even if it is within one of the reporting categories, your report will be forwarded to that department.

Individuals suspected of compliance violations may be given the opportunity to address the circumstances you described in your report. If you have disclosed your identify but would not like individuals involved in a suspected compliance violation to learn your identity, please indicate that in your report. If necessary, information you provide will be shared with public authorities.

You will be informed when the matter is finalized via your secured postbox. For data protection reasons the company cannot share with you any details regarding the outcome of the inquiry or any consequences that may have resulted.

Retaliation against any employee who raised compliance concerns in good faith is strictly prohibited. If you have reason to believe that you have been subjected to retaliation, please notify the Compliance Department directly or via Integrity Hotline under the category “other criminal or illegal behavior”. Knowingly false or misleading information in an Integrity Hotline report will result in serious consequences to reporters.
