The ombudsmen of the Volkswagen Group offer you in addition to the usual communication channels with the BKMS® Incident Reporting an electronic platform for your report which is especially secure in technical terms. Through this, you can send your information to us confidentially. Once you have sent your report, you can set up a secured postbox, so that we can communicate with you. Your report will be promptly processed by Mr. Rohrbach or Dr. Buchert. As ombudsmen we would prefer to communicate with you personally and would therefore ask you to disclose your identity. Our obligation of secrecy and our right of lawyers to refuse to give evidence protect you reliably and sustainably. We, the ombudsmen, will not reveal your name towards a third party, unless you, as the whistleblower, expressly agree to the disclosure of your name. In case you prefer to not disclose your identity to us, the ombudsmen, you can enter into a dialogue with us – without disclosing your identity – via the secured postbox.

Please bear in mind that confidential reports without the possibility of follow up are, from experience, not a sound basis for the clarification of matters. Therefore, we would ask you to set up a postbox.

  • Why should I submit a report?

    Compliance with statutory, social and company-internal rules is part of a positive and open company culture.

    The ombudsmen of the Volkswagen Group have been appointed in order to fight corruption and other actions which amount to white collar crime. They are available as contact persons to everybody who wishes to make a confidential report concerning the suspicion of such a crime or similar serious irregularities in relation to the Volkswagen Group or one of its brands. By means of your report, you will help to expose financial losses and image damage in a timely manner and you will therefore ensure the sustainable success of the company and the continued availability of jobs!

  • What happens with your report?

    Your report should help to expose or prevent crimes or serious irregularities. Subject to your agreement, we will forward your report on to the competent department within the Volkswagen Group. For this, we require from you a release from our duty of confidentiality incumbent on lawyers, which will be requested in the subsequent process. The protection of your identity will not be affected by this.

  • What is the process for submitting a report, how do I set up a postbox?

    To submit a confidential report, start by clicking the “Submit Report” button located on the top left hand side.

    The reporting process consists of 4 steps:

    1. To start with, you are requested to read an information text for the protection of your identity and to reply to a security query.
    2. On the following page, you will be asked about the category of your report.
    3. On the submitting page, you can then elaborate your report in your own words and reply to questions regarding the case by simply selecting responses. In the free text field, you can write 4,096 characters, which corresponds to a full DIN A4 page. You may also submit a file of up to 2MB to support your report. Please do bear in mind that documents can contain information about the author. After you have submitted your report, you will receive a reference number as proof that you submitted this report.
    4. Finally, you will be asked to set up your own secured postbox. You will receive feedback from us via this postbox, including answers to questions and information about the progress of your report.

    If you already have a secured postbox, you can access it directly via the “Login” button. First, you have to confirm the security query here as well.

    Should you accidentally transfer data which reveals your identity at the time of your entry or sending of files, the confidentiality of the report is however ensured, as the ombudsmen of the Volkswagen Group are subjected to a duty to maintain confidentiality as lawyers. In addition, the protection of your identity is guaranteed by the BKMS® technology.

  • How do I receive feedback?

    The most important principal of the ombudsman system of the Volkswagen Group and the use of the BKMS® procedure is the protection of the whistleblower.

    One of the two ombudsmen can start a dialogue with you via the secured postbox, ask questions and clarify matters which are unclear. This dialogue is also carried out confidentially and is protected.
